How to Update KYC for a Physical Share Folio

A practical guide to updating PAN, address, contact, bank, nomination and signature records for physical share folios through the current RTA.

Why folio KYC matters

A physical folio may contain an old address, missing PAN, outdated bank mandate, no email or mobile number, an unrecorded nomination or an old signature. These gaps can delay unpaid-dividend payment, duplicate-security requests, transmission and demat-related service.

KYC does not establish ownership by itself. It updates the service records for the registered holder. If title, succession or an unregistered transfer is disputed, that issue needs a separate route.

Map each detail to the applicable form

Under SEBI's RTA framework, Form ISR-1 is used for specified PAN, address, email, mobile, bank and related KYC details. Nomination may use Form SH-13, SH-14 or ISR-3 as applicable, while Form ISR-2 is used for signature verification in relevant cases. Download the current versions from the company or RTA.

  • PAN and registered holder name
  • Postal address with PIN code
  • Mobile number and email address
  • Bank account and electronic payment details
  • Nomination or declaration to opt out where applicable
  • Specimen signature and banker verification where required

Prepare and submit the update

Compare every document before signing. The holder name and joint-holder order should match the folio. Use self-certified copies and original, attested or banker-verified material only as required by the current checklist. Quote each folio clearly and keep a complete copy of the packet.

Send the request through the official RTA channel and retain acknowledgement or courier proof. If one RTA manages several folios, ask whether its current process allows authorised updates across those folios; separate RTAs still need their own submissions.

Verify the update before the next claim

After processing, request confirmation of the updated folio details. Check the holder name, PAN status, address, contact, bank mandate, nomination and signature position. Then proceed with the demat, dividend, duplicate, transmission or IEPF-related service using the consistent record.

Do not publish or send bank account numbers, PAN copies or identity documents through an open enquiry form. Share sensitive documents only through the verified company or RTA process when required.

Do I need to update every folio separately?

The RTA may update multiple folios it manages when the holder gives the prescribed authorisation, but folios handled by different RTAs require separate submissions.

Does folio KYC convert physical shares to demat?

No. KYC prepares the folio record; dematerialisation is a separate request involving the depository participant and issuer or RTA.
